Secretary nursery/primary cycle

Responsibilities 

  • Carry out a wide range of administrative and logistical tasks to ensure the smooth running of the school administration and the school itself; 
  • Handle the incoming and outgoing communication for the Primary School; 
  • Manage and update the electronic and physical pupil files, as well as the internal Microsoft SharePoint calendar of the Nursery and Primary School; 
  • Manage absences of pupils;
  • Draw up and process invoices (extra budgetary & school invoices) ;
  • Cooperate with other departments to optimize the general operation and organization of the school administration;
  • Communicate the weekly information for parents;   
  • Manage the school's enrolments 
    • Answer all admission requests and file them in an overview+ folder 
    • Arrange school visits with families & contact questions 
    • Enroll new pupils in SMS and inform canteen+ book keeping 
    • Manage pupil files 
  •  Manage the School Management System (timetables, absences, course management, user management)
  • "Reception" /first contact of the school: welcome children, parents, visitors in the school 
  • "Help desk" for children, parents and teachers (helping them with their questions, big or small) 
  • Support the organisation of school trips and school events (Meet & Greet days, e.g.) 

Profile and requirements 

  • ​​English - advanced, French - intermediate (additional languages are an asset)​ 

  • Diploma: â€‹BA in office management/management assistant​ 

  • Candidates must be entitled to work in Belgium 

  • Candidates have to be in possession of a recent DBS check ("Certificate of good conduct") 

Selection procedure

  • Diplomas obtained outside the EU must undergo homologation, e.g. via  

  • Shortlisting based on diplomas, resume and motivation letter  

  • Interview with the selection committee  

  • Second interview with the school director for the 2 best selected candidates

Offer

  • Brut monthly salary € 4 410,00 for â€‹34,5​ hours/periods per week 

  • Each employee is entitled to 30 days of holiday leave per calendar year, in addition to the public holidays set by the European Commission (+/- 16 days per year).  

  • Moreover, your children may register freely at one of the European schools, under restriction of the enrolment policy for European schools.
